Who handles your information
Rockbank Holdings Inc. operates CharityPro. Charities use the service to manage their donation records and issue receipts. The charity that collected a donation remains your first contact for questions about that donation or its receipt.
For questions about CharityPro's handling of information, access, correction or deletion requests, contact info@moaccounting.ca. We may need to verify your identity and authority and coordinate with the relevant charity before acting on a request.
Information we collect
- Account and charity details, including contact names, email addresses, charity registration information, addresses and authorized receipt signer details.
- Donor names, addresses, donation amounts and years, and email addresses supplied by a charity through Excel uploads or QuickBooks imports.
- Import summaries, receipt PDFs, receipt numbers, certifications, agreement acceptances and email submission records.
- QuickBooks company identifiers and connection credentials when a charity authorizes a connection.
- Subscription identifiers and billing status, together with technical and security information used to operate the service, such as login events and request information.
Original Excel workbooks are processed for import and are not retained as uploaded files. The imported records and source filename are retained. CharityPro does not receive your QuickBooks password. Card details entered into Stripe Checkout or Stripe's billing portal are handled by Stripe; CharityPro stores billing references and subscription status.
How we use information
We use this information to manage accounts and subscriptions, consolidate donations, prepare and retain receipts, deliver receipt copies when enabled, support users, protect accounts and keep records of certifications and accepted agreements. Charities must provide information they are authorized to process and review donor details and amounts before issuing receipts.
Receipt emails identify the issuing charity. Replies are directed to the charity's contact address. The receipt workflow does not enroll donors in marketing communications. The service does not sell donor information or use imported donation records for advertising.
QuickBooks Online
Connecting QuickBooks authorizes CharityPro to access the selected company's accounting data through Intuit. Our import uses company and currency details, Sales Receipts and associated customer information to prepare donor summaries. The current integration reads this information; it does not create or change transactions in QuickBooks.
You can review and remove your connection on the QuickBooks disconnect page, including after your subscription ends. Confirmation removes the saved connection credentials and attempts to revoke access with Intuit. The page reports when Intuit revocation could not be confirmed. You can also manage CharityPro access through QuickBooks. Previously imported records and receipts remain until separately addressed through a retention or deletion request.
Providers and access
Amazon Web Services provides hosting and storage and, when enabled, Amazon SES delivers receipt emails and processes recipient addresses and attachments. Stripe processes payments and subscriptions. Intuit provides the QuickBooks authorization and accounting services. These providers also operate under their own terms and privacy policies.
Access within CharityPro is restricted to the relevant account and authorized service administration. Information may be accessed for support, service operation, security investigations and responding to lawful requests. The website loads interface resources from jsDelivr, which receives browser requests for those resources.
Storage and safeguards
The CharityPro deployment uses AWS infrastructure in Northern Virginia, United States. Information may therefore be processed outside Canada and be subject to the laws of the jurisdictions where it is processed.
Safeguards include HTTPS, protected account access, encrypted stored QuickBooks tokens, and private receipt storage. No internet service can guarantee absolute security. Protect your account credentials and report suspected unauthorized access to the operator.
Cookies
CharityPro uses cookies for account sessions and request security. Blocking these cookies can prevent login or form submissions from working. Payment and connected-service providers may use their own cookies when you visit their services.
Retention and your choices
Account, donation, receipt and agreement records remain stored after subscription cancellation. Cancellation and QuickBooks disconnection do not automatically delete those records. Retention and deletion requests need to account for the service's operational needs and applicable record-keeping requirements, including those of the issuing charity. Backup or versioned copies may remain after records are removed from active use.
You can update charity and contact information from your profile. Contact the issuing charity about donor corrections or alternative receipt delivery, and contact the operator about information retained by CharityPro. You can request access, correction or deletion, raise a privacy concern, or ask about withdrawing permission for an optional use. We will explain any applicable limits, including required record retention and the effect on service availability.
