Terms and agreement

Review how the service works, then confirm your agreement before using the receipt centre.

1. Your charity account

These terms govern your charity's use of CharityPortal, provided by the operator named above. You must be authorized to act for the charity, provide accurate registration and contact information, and keep that information current. Protect your login credentials and notify the operator if you suspect unauthorized access.

2. Donation records and receipts

The service imports donation information from Excel and, when connected, QuickBooks Online; consolidates donor totals; and prepares Canadian cash-donation receipt PDFs after your certification. You are responsible for checking donor identities, addresses, amounts, donation years, duplicates, and eligibility before issuing receipts. This workflow is for cash gifts with no donor advantage. Your charity remains responsible for its legal eligibility to issue receipts and its record-keeping obligations. Software-generated receipts are not a CRA endorsement or a substitute for professional tax advice. U.S. receipt generation is not currently available.

3. Billing and renewal

When paid billing is enabled, the standard plan costs $75 USD at the first payment: a $50 one-time activation fee plus the first $25 monthly payment. The subscription then renews for $25 USD one calendar month after payment and monthly thereafter until canceled. Review the price, any applicable tax, and renewal information in Checkout before paying. Stripe processes payment details and subscription billing. Agreeing to these terms does not itself make a payment or authorize a new charge. If payment is currently waived for testing, paid access requires a separate Checkout confirmation.

4. Cancellation and continued access

You can request cancellation from Profile using the confirmation checkbox and Confirm cancellation button. Cancellation is complete when the website confirms it; a payment-provider error must be resolved before cancellation can be confirmed. Confirmed cancellation stops future subscription renewals and gives an active service account 30 additional days of receipt-service access, with the end date displayed in your account. An unpaid, inactive subscription does not gain service access by canceling. After access ends, profile and billing remain available. Download needed receipts before the access deadline. Cancellation does not delete records, automatically refund previous payments, or remove already-created charges. These terms do not limit rights or remedies required by applicable law.

5. Personal information and connected services

The service stores charity and administrator details, uploaded or imported donor names, addresses, donation amounts, and any supplied email addresses to manage your account, consolidate donations, and prepare and retain receipts. Only provide information your charity is authorized to process for these purposes. Connecting QuickBooks authorizes the selected company's donation data to be imported. When email is enabled, the software's email delivery provider processes donor email addresses and receipt attachments to send copies from one software-owned sender. Your charity's contact email is used for donor replies. Stripe receives information needed for payment and billing. Those providers operate under their own terms and privacy policies. Account records, donation records, and acceptance records are retained after cancellation; cancellation is not a deletion request. Contact the operator about privacy, access, correction, or deletion requests and any record-retention requirements. This agreement does not opt you or donors into marketing.

6. Responsible use and availability

Use the service only for lawful charity administration. Do not submit knowingly false receipts, access another charity's records, share access without authorization, or disrupt the service. Keep appropriate independent copies of your source records. The service and connected providers may experience interruptions; verify that imports, receipt generation, and any email delivery have completed before relying on them.

7. Your confirmation and future updates

By checking the agreement box and submitting your confirmation, you confirm that you have reviewed these terms and are authorized to accept them on behalf of your charity. We record your account, charity, acceptance date, terms version, and a copy of the text you accepted. You can review your accepted copy from Profile. If the terms change, you must review and confirm the new version before continuing to use receipt features. Profile, billing, and cancellation remain available without accepting an update. Contact the operator if you have questions before agreeing.


You will be asked to confirm these terms after creating your charity account and completing any required billing.
